1. Who we are
These terms apply to bookings with Northwest Gaming Limited, a company registered in Ireland under number 781283. You can reach us at bookings@nwgaming.ie or 089 256 8395. "We" and "us" mean Northwest Gaming Limited; "you" means the person making the booking.
2. Making a booking
You can book with no deposit, a 25% deposit or payment in full. Your booking is confirmed once we have acknowledged it, and where a deposit or payment is made, once that payment has been received. Until then the slot is not held.
3. Paying the balance
Any remaining balance is due at the start of your event, before gaming begins.
4. How you can pay
Debit and credit card payments are preferred and can be made online when you book. Where cash is agreed in advance it must be the exact amount, as our crew do not carry change. We do not accept cheques.
5. Your right to cancel
Because we hold a specific date and time for you, party bookings are not covered by the 14-day cooling-off period that applies to most things bought online. This is the exemption in the Consumer Rights Act 2022 for leisure services supplied on a specific date.
You can still cancel or move your booking under our Refund Policy. In short: cancel more than 7 days ahead and your deposit becomes credit towards another booking within 6 months; cancel within 7 days and the deposit is not returned, because at that point the date is unlikely to be filled again.
Gift vouchers are different - see section 8.
6. If we have to cancel
We may cancel or alter a booking in cases of serious illness, severe weather, or any circumstance that would put our staff or customers in danger. We will tell you as soon as we can and offer you an alternative date or a refund of everything you have paid.
If we are delayed by traffic or something else outside our control, we will run your full booked time where we can. Where that is not possible, we will reduce the fee in proportion to the time lost.
7. Technical failure
In the unlikely event of a major technical failure that affects your event, we will work with you to find the best solution. That may be a full refund or an alternative date at no extra cost, subject to availability.
8. Gift vouchers
Gift vouchers are valid for at least five years from the date of purchase, as required by the Consumer Protection (Gift Vouchers) Act 2019. The expiry date is shown on the voucher and in the email that comes with it.
You do not have to spend a voucher in one go. Where more than €1 remains after you have used part of it, you can ask us to return that balance as cash, as a bank transfer, or as a replacement voucher - and a replacement will carry the same expiry date as the original.
Vouchers cannot be used to buy other vouchers. If a booking paid for with voucher credit is cancelled, the credit goes back onto the voucher rather than being refunded as cash.
Unlike party bookings, a voucher bought online is not tied to a particular date, so you may cancel it within 14 days of purchase for a full refund, provided it has not been used.
9. Discount codes
Discount codes may be limited by how many times they can be used in total, how many times one customer can use them, and what they apply to. Only one code can be used per booking. Codes have no cash value, cannot be exchanged for cash, and we may withdraw a code at any time - though we will always honour one already applied to a confirmed booking.
10. Merchandise
Merchandise ordered with your booking is brought to your event on the day. Nothing is posted and nothing needs collecting. Please check sizes when ordering. If an item is faulty or not what you ordered, tell us and we will replace it or refund it.
11. On the day
If we start late, your event runs on so that you get the full time you paid for. If you are not ready at the agreed start time, the event still finishes as scheduled. If nobody is available 30 minutes after the agreed start time, our crew will leave and the booking is treated as a no-show, with no refund.
12. Access and where we park
Please make sure there is safe, level access for a large van, and that whoever owns the ground is happy for it to be there. We are not responsible for damage to driveways, verges or other surfaces caused by the weight of the van. If you are not sure the ground will take it, please take advice before booking.
13. Behaviour and safety
We will not tolerate abusive language, aggression or threatening behaviour towards our staff or other guests. Our crew may ask anyone behaving in a way they consider unsafe or unmanageable to leave, and where that happens no refund is given for that person or for the event.
Smoking, vaping and drug use are not permitted in or around the vans, and we may refuse entry to anyone who appears to be under the influence of drugs or a significant amount of alcohol. Everyone must follow our crew's instructions while in the van.
14. Age requirements
Children under 6 must have a parent or guardian with them for the whole session, and may be asked to leave the van if that adult leaves. We follow PEGI age ratings, so we will not let anyone play a game rated above their age.
15. Food and drink
Please keep food and drink outside the van. Nothing may be brought in or consumed inside.
16. Online gaming
Online play needs a strong internet connection. We provide a connection in the van and a cable for connecting to your router, which gives the most reliable result. We cannot control the strength of the signal at your location, or whether a game's servers are up, being updated, or unplayable at the time - so we are not able to guarantee that online play will work on the day.
17. Equipment and damage
You are responsible for our equipment while it is in your care, including cables and anything else supplied with it. Please tell a member of our crew straight away if something is damaged. You are liable for the cost of repair or replacement of anything damaged beyond fair wear and tear, and a €50 cleaning charge applies if the van or equipment is returned excessively dirty or muddy.
18. Photos and video
We sometimes take photos or video at events and may use them to promote Northwest Gaming. Tell us before your event if you would rather we did not, and we will not photograph your event. If something has already been published and you are unhappy with it, tell us and we will take it down. Where children are involved we will always ask a parent or guardian first.
19. Insurance
We hold the insurance necessary to run our gaming vans.
20. Our responsibility to you
Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited by law. Your statutory rights as a consumer are not affected by anything written here.
Beyond that, our liability in connection with a booking is limited to the amount you have paid us for it. We are not liable for losses we could not reasonably have expected when you booked.
21. If something goes wrong
Please tell our crew at the time, so we have a chance to put it right there and then. If that does not resolve it, email bookings@nwgaming.ie as soon as you can after the event with the details, and we will respond.
22. Information on this website
Details of our services are given in good faith as a guide, and were correct when published. Prices, availability and what is included can change - seasonally or otherwise - and the booking page is always the current position.
23. Using this website
The design, text, graphics and layout of this site belong to Northwest Gaming Limited or are used with permission. You are welcome to view, download and print pages for your own personal use. Please do not copy, republish or use them commercially without asking us first.
We link to other websites from time to time. We have no control over those sites and are not responsible for their content.
We do our best to keep the site accurate and available, but we cannot promise it will always be up to date or uninterrupted.
24. Changes to these terms
We may update these terms from time to time. The latest version will be available on this page.
25. Law and jurisdiction
These terms are governed by the law of Ireland, and the Irish courts have jurisdiction over any dispute. As a consumer you can also bring proceedings in the courts of the country where you live, and you keep the benefit of any mandatory consumer protection law that applies there.
If any part of these terms turns out to be unenforceable, the rest continues to apply.
